Hybrid Work Policy

Overview

The Hub Web is committed to providing a flexible, productive, and collaborative work environment for all contributors. This Hybrid Work Policy outlines the expectations and guidelines for team members working remotely, on-site, or in a hybrid capacity. It ensures alignment with our operational goals while supporting professional autonomy and responsibility.


Scope

This policy applies to all contributors, including:

  • Remote freelancers

  • Part-time and full-time employees

  • Contract staff

  • Contributors attending occasional onsite sessions or events


Work Modes

Content Writers Remote Submit work on a weekly deadline basis
Editors Remote with occasional onsite Participate in scheduled editorial syncs

Project Managers Hybrid Attend in-person meetings 1–2 times/month

Core Working Hours

Contributors are expected to be available and responsive during core working hours: 10:00 AM to 3:00 PM (GMT), Monday through Friday. Flexibility is permitted outside of core hours, provided that deadlines and communication requirements are met.


Communication Tools

To ensure effective collaboration, contributors are required to utilize the following platforms:

  • Slack or WhatsApp – for daily team communication

  • Google Workspace – for documentation and email

  • Trello or ClickUp – for task and project management

  • Zoom or Google Meet – for meetings and check-ins

All contributors must check messages regularly and respond within 24 hours, unless on approved leave.


Contributor Expectations

  1. Timely Deliverables: All contributors must meet established project deadlines.

  2. Meeting Attendance: Participation in scheduled meetings is mandatory unless excused in advance.

  3. Professional Conduct: Contributors are expected to communicate respectfully and work cooperatively with others.

  4. Self-Management: Remote workers must effectively manage their time and responsibilities.

  5. Confidentiality: All contributors must maintain the confidentiality of internal data, content, and platform access.


Equipment & Technical Access

Contributors are expected to:

  • Use reliable personal equipment and maintain stable internet access.

  • Request specific credentials or platform access through the team lead or manager.

  • Report technical difficulties promptly to avoid disruption to project timelines.


Availability & Time Off

  • Planned time off must be communicated at least three business days in advance.

  • For unplanned absences, contributors should notify their manager or team lead as soon as possible.


Compliance and Accountability

Non-compliance with this policy, including repeated missed deadlines, poor communication, or breach of confidentiality, may result in:

  • Reassignment of tasks or projects

  • Suspension of ongoing work

  • Termination of collaboration in serious cases


Policy Review

This policy is subject to review every six months or as needed, based on organizational and operational requirements.
